Electronic Invoice Service Registration

1. How do I register for Q8's Electronic Invoicing service?

You can register for the service on the Registration page in this way:

  •  Enter your personal details and login credentials.
  • After registering, you will receive an email to confirm your registration.
  •  Complete the subscription by entering the company details, requester's details, and accept the general billing conditions and privacy policy.

2. How does Q8's electronic invoicing work?

After completing the registration/login, you can request electronic invoices for fuel refills and washes performed at authorized Sales Points by entering the details from the receipts in the "Request Invoice" area.

Once you've entered the data and selected the receipts, click on "issue invoice," choosing between two options: "Request single invoice" or "Request cumulative invoice."

3. How is the electronic invoice sent?
The invoice will be sent to the Exchange System, which will check its formal correctness (this can take up to 5 days), and if successful, they will send you the document in .xml format through one of the following methods:

  • Using the data transmission system based on the FTP protocol or the application cooperation system (web-service), if during the registration process, you provided the SDI code.
  •  Sending it to the PEC address indicated during registration.
  •  Making it available in the tax drawer on the Revenue Agency's website. Once the Exchange System confirms the document's correctness, you will receive a copy in pdf format of your electronic invoice at the email address provided during registration, which will not constitute a valid document for the purposes of art 21 of Dpr n. 633/72.

4. I lost my Password. How do I access the Electronic Invoicing Service?
You can change your password for Q8 Electronic Invoicing by clicking on the "Recover password" link available on the login page of the Reserved Area and following the verification procedure. At the end, you will receive an email that will allow you to enter a new password, following a procedure similar to registration.

5. Is it possible to modify data related to my registration?

Yes, you can check and modify all your data at any time, except for the email that represents the User ID with which to access the site. To modify your registration, just follow these steps:

  • Access the Reserved Area.
  • Click on the "Profile" menu.
  •  Update the data.
  • Confirm and save the changes by clicking the "Update" button.

 

6. I have multiple company vehicles; is it possible to enter more than one license plate?
During registration, you can indicate only one license plate; if, when requesting an invoice, it is necessary to enter a different license plate, you can manually modify the field

7. Who can I contact in case of problems with Q8's electronic invoicing?
You can send a support request to the following email address: supporto_fatture@Q8.it specifying in the subject of the email: “Sales Point Code: VAT Number” and as content:

  • Company name and VAT number.
  •  Details related to the supply:
  • Sales Point.
  • Transaction number, amount, and date.
  •  License plate.
  • Type of problem encountered.

Electronic Invoice Request

8. Why does the system indicate the error "Transaction no longer invoiceable" after entering the data for the invoice request?
The invoice request must be made within the fifth day of the month following the transaction date (e.g., refills made in January 2021 can be invoiced until and no later than February 5, 2021).

9. If I make multiple refills during the month, can I request a single cumulative invoice?
Yes, once you have entered the receipt details for which you want to request an invoice, you can select "Request cumulative invoice": a single summary invoice will be generated for all selected receipts related to the same month of supply and service station.

10. Can I request an electronic invoice if I have not indicated PEC and SDI Code fields?
Yes, since the Pec and SDI Code fields are not mandatory for registration. If such data are not entered, the invoice will still be produced, but the version in .xml format cannot be delivered by the Revenue Agency. In this case, you can download the document by accessing the "Tax Drawer" of the Revenue Agency.

11. Is it always possible to request an electronic invoice for fuel purchases?
Yes, if you have a VAT number. However, remember that for the deductibility of purchase costs and the deductibility of the related VAT, the refill must be settled with traceable payment methods (credit cards, debit cards, prepaid cards, fuel cards CartissimaQ8 or RecardQ8, bank or postal transfer, check).

12. Can I receive paper invoices for fuel refills?
No, invoices are not sent by post but are available and downloadable in PDF in the Customer Area. Alternatively, they can be received at the billing email address indicated during registration.

13. How can I obtain the electronic invoice at Q8 distributors?

  •  Via receipt: at Q8 distributors authorized for electronic invoicing, a receipt valid for uploading to the Q8 portal for electronic invoice request is issued.
  • Asking the manager: you can obtain electronic invoicing by asking the manager directly, who, once the data is communicated, will issue the invoice on your behalf.
  • Automatically with CartissimaQ8 and RecardQ8: if you refuel with CartissimaQ8 and RecardQ8 fuel cards, billing occurs automatically biweekly/monthly.

14.How can I obtain the electronic invoice at Q8easy distributors?
Keep the receipt after refueling at the Q8easy station. The electronic invoice request can be made independently through the billing services by accessing the Reserved Area and entering the data on the receipts in the "Request Invoice" area.

15. I received the receipt; how do I request the electronic invoice?
You can request the electronic invoice with the refueling receipt. Access your Reserved Area and enter the details on the receipt to obtain electronic invoicing.

16. Where can I download the electronic invoice for my refills from Q8?
You can download the pdf format, not valid for the purposes of art 21 of Dpr n. 633/72, of the electronic invoice by accessing your Customer Area.

17. How can I request an electronic invoice if the Sales Point where I refueled is not listed in the Store Locator?
For invoice requests at distributors not listed on the map, you can directly contact the service station manager, who will make the invoice request. Visit the map to discover Sales Points authorized for electronic invoicing.

18. If I pay with CartissimaQ8 or RecardQ8 Business, do I need to request an electronic invoice?
No, as for refills made with these electronic fuel cards, the billing system is automatic with a biweekly/monthly frequency.

19. Do I receive the electronic invoice with CartissimaQ8?
Yes, owners of the CartissimaQ8 corporate Fuel Card automatically receive an electronic invoice for all corporate fleet refills.

20. Is it possible to receive a summary invoice of transactions made with RecardQ8?
A summary invoice is only possible with RecardQ8 Business. However, it is not possible to receive a summary invoice for RecardQ8 Coupon.
