Registration for the Electronic Invoicing Service

  • How do I register for the Q8 Electronic Invoicing service?

      You can register for the service on the Registration page as follows:

      • Enter your personal information and login credentials.
      • After registering, you will receive an email to confirm your registration.
      • Complete the subscription by providing company details, applicant information, and accept the general invoicing terms and the privacy policy.
  • How does Q8 electronic invoicing work?

      After registering/logging in, you can request an electronic invoice for fuel purchases and car washes at authorized Points of Sale by entering the information from your receipts in the "Request Invoice" section.

      Once you've entered the information and selected the receipts, click on the "issue invoice" button, choosing between the two options: "Request a single invoice" or "Request a cumulative invoice."

  • How is the electronic invoice sent?

      The invoice will be sent to the Exchange System (Sistema di Interscambio), which will verify its formal correctness (this can take up to 5 days). If the verification is successful, the document will be sent to you in .xml format via one of the following methods:

      • Using the data transmission system based on the FTP protocol or the application cooperation system (web service), if you provided the SDI code during registration.
      • Sending it to the certified email address (PEC) provided during registration.
      • Making it available in your tax drawer on the Revenue Agency's website.

      As soon as the Exchange System confirms the correctness of the document, you will receive a copy of your electronic invoice in PDF format at the email address provided during registration. However, this copy will not be valid for the purposes of Article 21 of Presidential Decree No. 633/72.

  • I have lost my password. How can I access the Electronic Invoicing Service?

      You can change your password for Q8 Electronic Invoicing by clicking the "Recover Password" link available on the login page of the Reserved Area and following the verification process. At the end of the process, you will receive an email allowing you to set a new password, similar to the registration procedure.

  • Is it possible to modify my profile information?

      Yes, you can review and modify all of your information at any time, except for the email address, which serves as the User ID to access the site. To update your profile information, simply follow these steps:

      • log in to the Reserved Area

      • click on the "Profile" menu

      • update the information

      • confirm and save the changes by clicking the "Update" button.

  • I have multiple company vehicles, is it possible to add more than one license plate?

      During registration, you can only specify one license plate. However, if you need to use a different license plate when requesting an invoice, you can manually update the field.

  • Who can I contact if I have issues with Q8 electronic invoicing?

      You can send a support request to the following email address: supporto_fatture@q8.it, specifying in the subject line: "Point of Sale Code: VAT Number" and including the following information in the email:

      • Company Name and VAT Number

      • Details of the transaction:

      • Point of Sale

      • Transaction number, amount, and date

      • License plate

      • Type of issue encountered

Electronic Invoicing Request

  • Why does the system show the error message "Transaction no longer invoiceable" after I enter the data to request an invoice?

      The invoice request must be made by the fifth day of the month following the transaction date (e.g., refueling done in January 2021 can be invoiced no later than February 5, 2021).

  • If I make multiple refuelings during the month, is it possible to request a single summary invoice?

      Yes, once you have entered the details of the receipts for which you want to request an invoice, you can select "Request cumulative invoice": a single summary invoice will be generated for all selected receipts related to the same month and service station.

  • Can I request an electronic invoice if I did not provide the PEC and SDI Code fields?

      Yes, since the PEC and SDI Code fields are not mandatory for registration. If these fields are not provided, the invoice will still be generated, but the .xml version cannot be delivered by the Revenue Agency. In this case, you can download the document by accessing the “Cassetto Fiscale” of the Revenue Agency.

  • Is it always possible to request an electronic invoice for fuel purchases?

      Yes, if you have a VAT number. However, please note that for the purposes of deductibility of purchase costs and related VAT, the refueling must be paid using traceable payment methods (credit cards, debit cards, prepaid cards, CartissimaQ8 or RecardQ8 fuel cards, bank transfer, postal transfer, or check).

  • Can I receive paper invoices for fuel purchases?

      No, invoices are not sent by mail but are available for download as PDF files in the Customer Area. Alternatively, they can be sent to the billing email address provided during registration.

  • How can I obtain an electronic invoice at Q8 stations?

      • Via Receipt: At Q8 stations enabled for electronic invoicing, a receipt is issued, which can be used to upload details to the Q8 portal to request an electronic invoice.

      • By Asking the Attendant: You can obtain electronic invoicing by asking the station attendant, who will issue the invoice on your behalf once the details are provided.

      • Automatically with CartissimaQ8 and RecardQ8: If you refuel using the CartissimaQ8 and RecardQ8 fuel cards, invoicing is done automatically.

  • How can I obtain an electronic invoice at Q8easy stations?

      Keep the receipt after refueling at a Q8easy station. The electronic invoice request can be made independently through the billing services by accessing the Reserved Area and entering the data from the receipts in the dedicated "Request Invoice" section.

  • I have received the receipt, how do I request the electronic invoice?

      You can download the PDF format of the electronic invoice, which is not valid for the purposes of Article 21 of Presidential Decree No. 633/72, by accessing your Customer Area.

  • Where can I download the electronic invoice for my refuels at Q8?

      No, because for refuels made with these electronic fuel cards, the invoicing system is automatic and occurs biweekly/monthly.

  • How can I request an electronic invoice if the Point of Sale where I refueled is not listed in the Store Locator?

      For invoice requests at stations not listed on the map, you can speak directly to the station attendant, who will process the invoice request. Visit the map to find Points of Sale that are enabled for electronic invoicing.

  • If I pay with CartissimaQ8 or RecardQ8 Business, do I need to request an electronic invoice?

      Keep the receipt after refueling at a Q8easy station. You can request the electronic invoice independently through the billing services by accessing the Reserved Area and entering the information from the receipts in the dedicated "Request Invoice" section.

  • Do I receive the electronic invoice with CartissimaQ8?

      Yes, holders of the corporate fuel card CartissimaQ8 automatically receive the electronic invoice for all refuels of the corporate fleet.

  • Is it possible to receive a summary invoice of the transactions made with RecardQ8?

      A summary invoice can only be received with RecardQ8 Business. It is not possible to receive a summary invoice for RecardQ8 Coupon.
